Catalog vs. Inventory - What's the Difference?
Your catalog is the list of products you track in Inventory. Think of your catalog as everything you could ever stock, like every item in a grocery store. Your inventory is just what you actually have on hand right now, or are tracking as out of stock.
Every item is defined by what it is and the container you count it in, such as a keg, a bottle, or a can. Your catalog starts empty. This article covers the different ways to build it.
Importing Items From Your Existing Menus
If you use Untappd for Business and already have items on your menus there, importing is faster than adding them one at a time. On the Catalog page, click Import Items. If your catalog is empty, you will see this as its own card.
- Import from Your Menus pulls in everything currently on your menus, plus anything published in the last 90 days. This is the only source available today. Importing from order history is coming later.
- Select what you actually carry. Nothing is checked by default. Search or filter by beverage type, and choose a format for anything that needs one. Items still missing a format are grouped separately so nothing gets imported with a guess.
- Choose a size for each item. You can set one size for a whole group at once, then override individual rows underneath. A pack tier is optional. A base unit is added automatically either way.
- Add the items, then review them.
Note: Importing only creates catalog entries. It never adds stock or cost. Everything shows up with nothing on hand until you receive an invoice or run a count.
Changed your mind? Undo This Import removes everything you just added, as long as none of it has been counted or received yet.
Adding a Product Manually
- On the Catalog page, click Create Product.
- Select your item's category from the dropdown menu, then start typing its name under Item Search. Results come directly from one of our available databases. Check the producer name under each result before you choose one, since many products share similar names.
- Choose the container you count this item in, such as a keg size for draft or a can or bottle size for other packaged product.
- If you buy this item by the case, add a package tier as well; for example, 24-Pack or 4x6 Packs for a case of four six-packs. Kegs do not need one.
- Click Create Product at the bottom of the panel.
Note: If you cannot find a product, or it is made in-house, click Add Custom Product and enter the product name and producer yourself.
Containers and Packages, Explained
The container is the unit you count, such as a 12oz bottle, a 16oz can, or a 1/2 barrel keg. The package is how you buy it, such as a 24-pack case or four six-packs. Every product needs a container. Packages are optional tiers on top of it.
To see or add to a product's packaging, click its name, or open its three-dot menu and choose Edit, then use Add Packaging on the product page.
Searching and Filtering Your Catalog
Use the search box to filter by name as you type, and the beverage-type dropdown to narrow the list to Beer, Wine, Spirit, RTD, or Non-Alcoholic.
Removing an Item From Your Catalog
- Open the item's three-dot menu.
- Choose Delete and confirm.
Note: Items that already have inventory history, such as being received on an invoice or included in a count, may be protected from removal. Inventory tells you the specific reason when this happens.
