Anyone who needs to count, receive deliveries, or manage the catalog at your venue needs access to Inventory. This article covers how to invite a teammate and how to manage access for someone who already has it.
How Access Works
Access to Inventory is tied to venue membership rather than a separate Inventory account. Once someone is invited to a venue's Inventory, they can open it right away. There is no separate acceptance step.
How to Invite a Teammate
To get started, click your account icon in the top right corner and choose Manage Users:
- Switch to the Inventory tab. This lists every venue with an Inventory subscription, separately from general venue access.
- Click Invite User in the upper right corner.
- Enter their name and email, then go to the dropdown and select your location under "which products this user can manage."
- Click the Invite User button in the lower right.
The new teammate appears in the list immediately, alongside everyone else with access to that venue's inventory.
How to Manage Someone's Access
Open the menu (three dots) next to a teammate's name to see your options:
- Disable blocks their access without removing them from the list.
- Make Owner gives them owner-level access.
- Remove takes them off this venue's Inventory entirely.
What Each Teammate Can Do
Everyone with Inventory access can handle the daily work: counting through Complete Count, receiving deliveries and confirming receipts, matching or creating products while receiving, adding and moving stock, editing receiving costs, and adding a vendor while receiving.
A small set of actions that change your books or your setup need the Inventory admin permission: posting a count, creating, importing, or deleting catalog products directly, managing storage areas and vendors, Inventory settings, the setup checklist, and Inventory > Reports. Account owners already have it.
To give or remove Inventory admin, go to Manage Users, open the Inventory tab, and grant or remove Inventory Admin Access for that teammate. You can update one teammate or several at once. Inventory admin is separate from managing users, so granting one never grants the other.
Note: Buttons a teammate can't use stay on screen and explain what permission is missing, so no one is left guessing why something won't work.
