The Toast integration allows you to automatically sync your menu data from Toast directly into your Untappd for Business (UTFB) account. Once connected, any changes you make in Toast, such as adding, removing, or updating menu items, will automatically appear in UTFB with no manual work required.
To get started, you will need to have access to third party applications via the Restaurant Management Suite (RMS) in Toast.

To ensure a successful integration, please review the setup requirements below before connecting your Toast account. Skipping these steps may result in incorrect container mapping, missing tap numbers, or unexpected menu imports.
Important Notes Before You Begin
Imports include all items in the Toast category you select, including out-of-stock items.
We recommend reviewing your Toast categories first so you’re not surprised by large imports.The Toast sync imports top-level menus only. Nested submenus are not yet supported.
(See “Nested Sections Behavior” below for details and best practices.)If you plan to include non-beer items, please review the “Non-Beer Items Handling” section before importing.
Container Setup in Toast
If you want your items to map to specific containers (for example: Draft, Can, or Bottle) in Untappd for Business, you’ll need to use a Size Price pricing strategy within Toast.
- Each size/price pairing in Toast corresponds to a container type in Untappd.
- Any pricing strategy that doesn’t specify a size will sync as a single generic size called “Serving.”
- To confirm your setup, open Toast › Menu Management › Menu Manager and review your pricing strategy under each item.
Tip: If you plan to display multiple serving sizes on Untappd (e.g., 10 oz pour vs 16 oz pint), make sure those sizes are defined in Toast using the Size/Price model before you connect.
You can also use the Container Mapping field to map container names (like "tall" or "small") located inside your POS directly to a specific draft/container in UTFB. These mappings will be reused automatically on future imports. Click here for a short video showing how to get set up.
Tap Number MappingÂ
If you want your tap numbers in Toast to automatically sync to your Untappd for Business menus, you’ll need to include the tap number at the start of each item’s Name field in Toast along with a period.
Use this exact format:
YES--> 1. Daisy Cutter >> syncs as Half Acre Daisy Cutter with tap # 1
NO -->  1 – Daisy Cutter or #1 Daisy Cutter >> will not sync correctly
Note: Once tap number mapping is fully available in the integration, Untappd for Business will automatically detect and apply these numbers during menu sync.

Locate the UTFB Integration in Toast
- Log into your Toast Admin account.
- Go to Integrations > Browse & purchase integrations.
- Search for “Untappd for Business.”
- Click Add Now to install the integration.
- Review and accept the integration terms and permissions.
Note: The UTFB integration is read-only; it does NOT send data back to Toast.
Once installation completes, return to My Integrations and find Untappd for Business in your active integrations list.
Configure the Integration
Next steps:
- In Toast, click the gear icon next to the Untappd for Business integration.

- Then in the configuration window, locate the Location ID or Venue ID field.
- Copy your Venue ID from UTFB > Integrations Page > Toast tile.
- Paste the Venue ID into Toast and click Apply.
Toast will confirm successful setup. Within a minute, UTFB will show the integration as Connected, and a new Toast Sync item will appear in your left navigation menu.
Import Menus from Toast
- In UTFB, click Toast Sync from the left-hand navigation.
- Click Import from Toast to open the import panel.
- Select the menus you want to import.
- Acknowledge the note:
“I understand that updates to Toast-imported menus are automatically reflected in UTFB, but some items may not match and might need to be corrected manually.”
- Click Import.
The import will begin, showing progress as each section processes. Larger menus will take several minutes.
Match and Review Items
Once imported, UTFB automatically attempts to match items from Toast to the correct beverages or menu categories in UTFB.
What’s matched automatically:
- Item name, description, and pricing
- Container type (e.g., draft, can, bottle)
- Category mapping (e.g., Food, Beer, Wine)
When manual matching is needed:
- Generic placeholders (e.g., “Rotating Craft Draft”) can’t auto-match.
- Click Match Now and search for the specific item or beer.
- If no equivalent exists, leave the item unmatched or hidden.
Container mismatches:
- If a beer’s container (e.g., pint, can) doesn’t match correctly, use the dropdown to select the right option.
Non-Beer Items Handling
Untappd for Business supports syncing non-beer items (wine, spirits, cocktails, NA beverages, and more) from Toast. When these items import, the following rules and limitations apply:
How Non-Beer Items Map from Toast
Toast sends the following fields during sync:

Modifier Groups
Category (mapped to UTFB categories such as Wine, Spirits, Food, NA Beverages)
Wine-Searcher Matching (UTFB Premium Plan)
If you have access to Wine-Searcher premium matching:
You can attach Wine-Searcher entries to imported wine items.
Imported Toast items will appear with an option to match to Wine-Searcher results when available.
If a wine cannot be automatically matched, you can manually select the correct listing.
20-Item Limit for Non-Beer Items (UTFB Essentials Plan)
The UTFB Essentials plan supports displaying up to 20 non-beer items per synced menu.
This cap is enforced on the Toast Sync page.
You can use visibility toggles to choose which 20 items appear on your published menu.
A counter will display how many of the 20 slots you have used.
Image and Description Sourcing
UTFB pulls item images and descriptions from both Toast and Untappd, using the following priority order:
Priority LogicÂ
Images will be selected for use in your menus in the following order of priority:
User-selected image/description in UTFB (if you manually override)
Toast item image/description
Untappd database image/description (if available)
Placeholder image/empty description (if none exist)
When Toast Data Is Missing
If Toast does not provide an image or description:
Beer items will use Untappd’s brewery-sourced database information when available.
Non-beer items may require manual updates or Wine-Searcher matching.
Review and Publish Your Menu
After matching:
- Navigate to Menu Management in UTFB.
- Your imported menu will appear as Unpublished by default for review.
- Open the menu by clicking on its name and confirm item visibility, pricing, and structure.
- Synced menus can display up to 20 non-beer items for users on the UTFB Essentials plan. Remember to use visibility toggles to select which items appear on your published menu.
- When satisfied, click Publish to make your menu live.
What To Know Post-Integration
After connection, UTFB automatically reflects any changes made in Toast:
- Inventory updates: When items go out of stock in Toast, UTFB marks them as out of stock and hides them from live menus.
- New items: Items added in Toast will appear in UTFB during the next sync.
- Removals: Items deleted in Toast disappear from UTFB synced menus.
- Price changes: Price updates in Toast appear immediately in UTFB.
Once imported, synced menus will display a Synced with Toast label in UTFB.
Certain edits are restricted to maintain accurate synchronization.
Editable in UTFB:
You can update the following without breaking sync:
Item Name
Beer-related fields (style, brewery, ABV, IBU, calories, description)
Designations (nitro, cask, local)
Assigning draft tap numbers
Setting or changing your sort order (e.g., sort by style)
Not editable in UTFB:
These fields MUST be edited in Toast and will sync automatically:
Menu or section names
Toast category assignment
Structure or hierarchy
Adding/removing items
Default item ordering (aside from UTFB’s sort order)
About Sort Order:
If you choose a sort order in UTFB (for example, “Style”), all items in the synced menu will follow that order.
New items added in Toast will also automatically inherit this sort order.
(While you are in the menu, UTFB will show tooltips reminding you where edits are managed.)

Nested Sections Behavior
Toast currently supports multi-level section structures, but the UTFB integration imports top-level sections only.
What This Means
Any nested submenu in Toast becomes a flat section in UTFB.
Submenus do NOT retain hierarchical relationships once imported.

Best Practices
To ensure clean imports:
Create a dedicated top-level Drinks or Beer menu in Toast.
Avoid relying on deep nesting for items you want to sync.
Keep naming consistent to avoid confusion once sections flatten.
Scheduled Menus / Scheduled Publishing with Toast
Overview
If you’re using the Toast integration, you can now take advantage of Toast’s Scheduled Publishing feature to automatically update your menu at set times! This allows you to plan ahead for things like happy-hour menus, day-part pricing, or seasonal offerings, all without needing to manually push changes in Untappd for Business.
How It Works
- In Toast Web, go to Menus › Menu Management › Menu Manager.
- Make your desired edits to items, modifiers, or pricing for the location(s) you manage.
- Click Schedule (instead of Publish Now) to create a Change Set.
- Choose the date and time when Toast should publish the change.
- The time zone is based on your browser or location, so double-check if you manage venues across time zones.
- When the scheduled time arrives, Toast publishes the changes automatically.
- As soon as the changes go live in Toast, they’ll sync automatically to your Untappd for Business menu (no manual refresh required).
Best Practices
- Confirm time zones: Make sure the time zones in Toast and Untappd for Business match to avoid mismatched menu timing.
- Run a test: Try scheduling a minor edit first (e.g., change one menu item) to confirm how the sync appears on your UTFB menu.
- Avoid overlap: Multiple change sets for the same menu can conflict. Each scheduled change replaces only the properties edited in that set.
- Review after publish: Once Toast publishes, verify your UTFB menu updates as expected.
- Manual fallback: If a scheduled update doesn’t appear, you can still trigger a manual sync via the integration.
Limitations and Notes
- Scheduled publishing is supported only in the Items, Modifiers, or Price Levels views of Toast’s Menu Manager.
- Changes made through the “Full Menu” view must still be published manually.
- Scheduled Publishing requires a Toast package that supports it (such as Restaurant Management Essentials or higher).
- Menu updates appear in UTFB once Toast successfully publishes them, so if Toast’s schedule is delayed, your updates will be, too.

Reversion Options
- Revert to Toast data: restore original Toast info.
- Revert to Untappd data: replace with Untappd database info.
Unlink or Remove the Toast Integration
To unlink a specific menu in UTFB:
- Go to Toast Sync.
- Open the three vertical dots menu beside the menu name.

Click Unlink and confirm.
The menu will remain in UTFB but stop receiving Toast updates.
To remove the integration entirely:
- In Toast: Go to Integrations > Configure Integrations.
- Find Untappd in the active list, then click the trash can icon and save:
- UTFB will immediately lose connection to Toast, but the menus remain in UTFB for reference.
